A Phone App Built for a Small Lawn Care Crew

A small lawn care company was running on invoicing software that didn't fit the job, paper notes. We built a phone-first app for hours, expenses, quotes, and invoices, and moved their records over.

  • 22 Customers moved over with their addresses
  • 45 Past invoices moved over, PDFs included

What wasn't working

The company's customers and invoices sat in general-purpose invoicing software that wasn't built for mowing routes or crews. It wasn't made for quick use on a phone between jobs, and it had no simple way to track hours or receipts.

What we did

  1. Moved the Records First

We copied customers, price lists, invoices, payments, and a PDF of every past invoice out of the old system, so nothing was lost and the owner didn't have to retype anything.

  2. Built the Day Around the Phone

A work clock that keeps running even when the signal drops, expense tracking with receipts, and customer records that are easy to reach from the truck.

  3. Made the Money Side Simple

Billed visits turn into invoices, quotes turn into invoices with a tap, and the owner gets a single review screen for hours and receipts, with CSV exports for tax time.

What changed

They went from manually writing invoices and creating invoices by hand to logging hours, jobs performed, and recording expenses right from their phone. This makes creating invoices from recorded work times a breeze and saves them hours every week.

Key takeaway

A small crew doesn't need big software. It needs the three or four things it does every day to work on a phone, even with one bar of signal.

Questions people ask

Does the crew need to install anything?

No app store is involved. It opens in a browser and can be added to a phone's home screen.

What happens if there is no signal at a job?

The work clock saves on the phone and catches up once the signal comes back.

What happened to the old invoices?

They were copied into the app along with a PDF of each one.
